Summertime Season Planning

This summer, The Phoenix Symphony’s Operations Department is working hard to plan out the logistics that make an exciting, engaging, and smooth-sailing season for our Valley citizens. Preparation concerning next season’s guest artists, library music, outreach events, and production logistics is necessary to create a successful year that everyone can enjoy.

The Operations Department consists of teams of staff members who are responsible for the areas of concert production, library music, guest artist needs, orchestra personnel scheduling, and education & community engagement. Each staff member works closely with conductors, guest artists, music publishers, and community partners to plan out each week of the season. The goal is to be prepared well ahead of time to make sure our patrons, guests, and musicians can have the best concert experience possible.

The production team is responsible for finalizing performance venue details, scheduling lighting and stage preparation time, arranging itineraries for guest artists, and anticipating any logistical issues for the season – for example, very large works, films, or special instruments that may need to be rented for the season.

The librarian secures and prepares all of the music the orchestra performs throughout the year. This includes renting or purchasing music, and being aware of all of the publication and performance rights involved. The librarian works closely with the conductors to decide which version of works to use, and what instrumentation is required. From there, the orchestra personnel manager can hire extra musicians to cover what the orchestra may not have, for example, saxophones. The personnel team also ensures each musician has time off, and fills that vacancy with a substitute.

Finally, the education & community engagement staff focuses on planning educational, engaging, and entertaining concerts for students. All concert content is based off of Arizona State Standards, with input from Valley music teachers, parents, and students. The focus of each event is on the learner, and programs are crafted to make sure students’ best interests are at the forefront.
